The Problem

Southside Sport and Community Club were losing significant amounts of time and money through their cumbersome manual payroll processes and hand written timesheets. 

Southside Sport and Community Club installed ENTERPRISE in 2004, in combination with one HandPunch Terminal, when support for the Winstar payroll automation software they had purchased previously was discontinued. With 65 staff, it was taking a full day or even more each week to organise payroll. 

Management knew that their manual timesheet data collection and payroll system was taking them too long.  They were also finding significant errors in timesheet calculations done by staff.

“Staff were trying to do us a favour by adding up their timesheets for us, but someone who worked from 6-9pm would then write 4 hours in the box for hours worked, causing us major discrepancies.  Honest mistakes, but costly ones,” said Marilynn Davey – Administration Officer for Southside Sport and Community Club.

This meant that every one of their 65 weekly timesheets had to be manually double checked against attendance schedules for accuracy.

The Solution

ENTERPRISE was installed at SSSCC in early 2004. Since then it has overcome all of their payroll and timesheet issues by automatically collecting staff attendance times through the HandPunch system, which records the exact time a staff member arrives and departs.

“In the hospitality industry this is a real bonus, as many staff work complicated split shifts, and it is common for a staff member to be sent home early if it is quiet, or stay longer if it is busy.  With ENTERPRISE we capture actual times worked automatically and can compare with rosters every day” said Raylene Burns – Financial Controller

Southside Sport and Community Club run about 100 different shifts per week incorporating split shifts. 

They have 20 salaried staff in management and administration, and 45 staff in the areas of: reception, gaming, bar, security and catering (coffee shop, bistro and kitchen).

The solution provided by Time & Access Systems has now been operational at Southside Sport and Community Club for over 4 years, and the system continues to meet the needs of management.
